Vendors and price lists

Every vendor, with their own prices. So each order starts from the agreed rate.

Keep each vendor's details, the items they supply and the price you agreed with them. When you raise a purchase order, the vendor's price list fills in the rate, so buyers do not quote from memory or old invoices.

When a vendor revises prices, update the list once and every new order uses the new rate. Changes are tracked, so you can see what a vendor charged before and check each vendor's price for an item before you choose who to order from.

  • Vendor records

Contact details, the items each vendor supplies and what you owe them.

  • Price list per vendor

One price list for each vendor, used on every new purchase order.

  • Price changes tracked

See when a vendor's price changed and what it was before.

Purchase orders and approvals

Purchase orders that draft themselves. And wait for the right person to approve them.

Set a reorder level on each item, for each location. When stock falls to it, Bizzilo One drafts the purchase order to the vendor at their listed price, with the quantity needed to bring stock back up.

With purchase approvals, an order waits for the person who signs off before it goes out. Every order then shows its status, from draft to fully received, so nobody chases a delivery that has already arrived.

  • Reorder levels

Minimum and maximum levels per item and location draft the order for you.

  • Purchase approvals

Orders wait for a manager's approval before they go out.

  • Back orders

Anything the vendor could not supply stays open until it arrives.

Goods receipts

Count it, check it, then stock it. Against the purchase order.

When the delivery arrives, the goods receipt note (GRN) is raised against the purchase order. Your team records what was received and runs a quantity and quality check, so only accepted goods reach sellable stock.

Rejected goods are recorded as warehouse rejections and can go straight back to the vendor. Items tracked by batch or serial number are captured on the receipt, so expiry dates and serial numbers follow the stock from the first day.

  • GRN against the order

Receive in full or in part; the rest becomes a back order.

  • Quantity and quality check

Accepted goods enter stock, rejected goods are set aside.

  • Batch and serial on receipt

Expiry dates and serial numbers recorded as stock arrives.

Vendor bills and payments

Know what you owe, and to whom. Bills recorded against what arrived.

Record the vendor's bill against the goods receipt, so you pay for what you accepted. Each vendor's balance shows bills, payments and what is due, and payment reminders keep you on time with the suppliers you depend on.

Everyday expenses such as rent, freight or packaging are recorded as bills too, so the books show the full cost of running the store.

  • Bills against receipts

The bill is recorded against the goods you accepted.

  • Vendor payments

Record payments and see what is outstanding for each vendor.

  • Payment reminders

Reminders for what you owe each vendor, before it falls due.

Purchase returns and debit notes

Send it back with the paperwork right. Stock and the vendor's balance update together.

Return damaged, rejected or excess goods to the vendor against the original goods receipt. Stock comes down and a debit note is raised for the value, so the vendor's balance is correct before you make the next payment.

Debit note approvals let a manager check returns before they are sent, which matters when returns are frequent or high in value.

  • Purchase returns

Returned against the goods receipt, with stock updated at once.

  • Debit notes

Raised for returns and differences, and set off against the vendor's bills.

  • Debit note approvals

A second pair of eyes on returns before they go out.
